Office Tenders is a service business that specializes in helping people in trucking with state and Federal DOT paperwork for commercially licensed drivers.
We audit logbooks at $12 per driver per month. We use an Excel spread sheet to enter the hours and miles data to determine average speed and 60/70-hour violations. We generate another form that critiques how the driver actually fills out the form in terms of data missing errors or letting them know they are writing things that aren’t needed. We also do fuel tax reporting, putting together all of the mileage and fuel purchase data, reporting by driver if you wish, and filling out the summary report for your reporting state. Our rate for this varies from $10 per quarter to $25 per truck per month depending on the condition and volume of the data with which we have to work.
We establish and maintain DOT Driver Qualification Files. We set the files up utilizing computer-generated forms that we create ourselves, so that neither we, nor our customers have to buy and inventory forms that may become obsolete. Our customers just provide us the information (by phone or on one sheet of paper per driver) and we generate all of the documents. We take care of previous employer checks and state record checks. If files already exist, we audit and do whatever is necessary to bring them up to date.
We set up a tickler system to remind companies in advance of their drivers’ CDL expiration and when they need a new physical. We provide for their annual certification of driving record and supervisor review, and we automatically do the required annual state record checks. (Our charge for this service is $60 per driver per year with an initial $50 per driver set up charge.)
We can help with the random drug and alcohol testing program requirements such as company policy, driver education materials, and supervisor training. We also administer the random selection process, including setting up local test appointments that minimize the disruption to your work schedules. Our fee for full service program administration is $50 per driver per year.
We subscribe to a regulation update service that keeps us in tune with changes in the laws so that our customers do not get caught by a surprise change. We also have other services, such as policy and procedure writing, company manual development, records retention programs, licensing, permitting, etc. If you ever wish to consider outsourcing some of that support work for your drivers, we hope you will consider our services! |
